As an Austin wedding coordinator, I can tell you that day-of coordination is probably one of the most misunderstood services in the wedding industry. The name makes it sound like your coordinator simply arrives on the wedding morning, checks the timeline, and keeps things moving. In reality, a well-managed wedding requires preparation long before guests arrive.
My wedding day management process begins about 90 days before the wedding. That gives me time to review what you have already planned, understand your vendor commitments, organize the timeline, create the necessary diagrams, and make sure all of those decisions actually work together.

The biggest misconception is that a day-of coordinator only works on the actual wedding day. That would make it almost impossible to manage a wedding well.
Before I can oversee your celebration, I need to understand everything you have already created. Your vendor contracts, ceremony plans, reception layout, transportation, photography schedule, family responsibilities, and venue requirements all need to connect.
When you hire a day-of coordinator, you are still the planner. You have chosen your venue, hired your vendors, made the major decisions, and built the wedding you want. My job is to gather those decisions, organize them, identify anything that still needs attention, and bring everything together so the day runs as smoothly as you imagined.
That is why I prefer the term wedding day management. The service goes far beyond simply showing up on the wedding day.



This is where most of the behind-the-scenes work begins. Around 90 days before the wedding, I start reviewing the contracts for the vendors you have already hired. I want to know what each vendor has committed to, when they arrive, what they need from the venue, how long they are contracted for, and whether their responsibilities align with the rest of the wedding. This is where an experienced Austin wedding coordinator starts connecting all of the decisions you have already made into one complete plan.
From there, we begin building one complete picture of the day.
Every vendor may have a perfectly good contract on its own, but that does not automatically mean all of those contracts work together. Your photographer may have a specific coverage window. Your florist may need access before the rental company delivers everything. Transportation may need to begin earlier than originally expected. Your DJ, caterer, venue, and photography team may all be working from slightly different assumptions.
Reviewing those details early allows us to identify conflicts while there is still time to resolve them.

I oversee setup, communicate with the venue and vendor team, track the timeline, guide the wedding party, cue the ceremony, manage transitions, watch guest flow, and adjust things when the day inevitably changes.
Most importantly, I am looking at the wedding as a whole. If one vendor is running behind, I need to know what that affects next. A change in weather may impact the ceremony, photos, rentals, and guest experience, so we adjust accordingly. When something is missing, I determine whether we actually need it or whether there is another solution.
The goal is not to create a perfectly controlled wedding. The goal is to keep you from having to manage any of those decisions yourself.
I was asked whether there was one wedding where beginning 90 days beforehand prevented a major problem. I actually do not have one specific story, and that is intentional.

Maybe we caught a timing issue inside a vendor contract, or the floor plan needed to change before rentals were finalized. A transportation schedule may not have allowed enough time, or someone may have needed a responsibility assigned before the wedding morning.
Those moments rarely become stories because the problem disappears before the couple ever experiences it. And that is exactly how I want it.
Wedding day management works especially well for couples who genuinely enjoy planning their own wedding. You may already have your venue booked, your vendor team selected, your design decisions made, and most of your planning completed.
What you need toward the end is someone experienced enough to look at everything together and ask: Does this actually work? Then, once the wedding arrives, you need someone else to take over the execution.
That is the point where you stop being the planner and get to become the bride.
This service is not the right fit for every couple. If you still need significant help finding vendors, creating the design, building the budget, managing contracts, or making major planning decisions, you may need a more involved planning service.
A wedding day coordinator can organize and execute the decisions you have made. We cannot organize decisions that still need to be made. Understanding that difference before booking will help you choose the level of support that actually matches where you are in the planning process.
When hiring a day-of coordinator, remember that you are the planner.
You have spent month making decisions and creating this wedding. Your Austin wedding coordinator is there to gather those decisions, organize them, and make sure the day makes sense from beginning to end.
Then, when the wedding finally arrives, you get to step away from all of it. You should not be answering vendor questions while getting your makeup done. Your family should not be moving tables. Your maid of honor should not be checking transportation times. You should get to enjoy your wedding.
